Who we are
Fairlode is a service operated by Blue Canvas AI Ltd, company number NI737502, registered in Northern Ireland. Our registered office is 22c Spacehub, Balliniska Road, Derry BT48 0NA.
Blue Canvas AI Ltd is the controller of the personal information described in this notice. You can contact us at contact@bluecanvas.ai.
What this notice covers
This notice covers information supplied through the Fairlode website, our online questionnaire and later correspondence about a submission. Fairlode is intended for people acting for a business, not for private consumer use.
Information we collect
We may collect:
- your name, work email address, role and company details;
- your answers about the types, history, format and condition of company records;
- campaign tags and technical information needed to operate and secure the service;
- your marketing choice, submission terms version and records of any later permissions; and
- correspondence, notes and records created while assessing or discussing a submission.
The questionnaire asks for descriptions only. Do not send or upload source files, datasets, passwords, personal or customer names, health information, payment information, trade secrets or other confidential material. If you include something accidentally, contact us promptly so we can review and, where appropriate, delete it.
Why we use it
We use this information to:
- receive, review and respond to business submissions;
- assess whether a submission should be explored further;
- arrange a discussion or introduction where you ask us to do so;
- maintain security, prevent misuse and keep an audit trail;
- meet legal, accounting and regulatory obligations; and
- send optional marketing only where you have chosen to receive it.
Our usual lawful basis for handling a business enquiry is our legitimate interest in operating and improving Fairlode and responding to people who contact us. We use consent for optional marketing. We may also process information where necessary to take requested steps before a contract, to perform a contract or to meet a legal obligation.
The questionnaire uses rules to help us organise and prioritise submissions. A person reviews the information before any decision to progress it. Fairlode does not make a solely automated decision that has a legal or similarly significant effect on you.
Who receives it
Access is limited to Blue Canvas AI Ltd personnel and contractors who need it to operate the service. We also use service providers, including Tally for the questionnaire, Vercel for website hosting and Google Workspace for business communications and records.
We will not send an identifiable submission or profile to a prospective partner unless an authorised person at your business has separately approved the named recipient, the material to be shared and the purpose. We may also disclose information to professional advisers, regulators, law enforcement or another party where the law requires or permits it.
We do not sell your contact details.
Where information is processed
Tally states that form data is encrypted in transit and at rest and stored in Europe. Some other providers may process information outside the United Kingdom. Where that happens, we use an applicable adequacy decision, approved contractual clauses or another lawful safeguard.
How long we keep it
Our normal retention periods are:
- incomplete, spam or invalid questionnaire records: up to 30 days;
- submissions that are withdrawn or not progressed: up to 12 months;
- active enquiries: while the discussion continues and normally for no more than 24 months after the last meaningful contact; and
- permissions, introductions, agreements, transaction and accounting records: up to six years after the relevant relationship or transaction ends.
Marketing records are kept until you opt out. We may retain a minimal suppression record so that we can honour the opt-out. Backup deletion may follow a provider's secure backup cycle.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to its use, receive a portable copy, or withdraw consent. Withdrawing consent does not affect processing that was lawful before withdrawal.
Contact contact@bluecanvas.ai to exercise a right or raise a concern. We may need to verify your identity and authority before acting.
You can also complain to the UK Information Commissioner's Office at ico.org.uk. If the Irish Data Protection Commission is the relevant authority, information is available at dataprotection.ie.
Changes to this notice
We may update this notice as the service changes. The date at the top shows the version currently in force.
